Do I Need a Day-of Wedding Coordinator in Ireland?
You’ve booked the venue, chosen your suppliers, worked out the timings and spent months deciding exactly how you want your wedding day to look.
Then comes a question that often doesn’t occur to couples until much closer to the wedding.
Who is actually going to make sure all of that happens on the day?
Who checks that your suppliers know where they’re going? Who makes sure your personal items are where you wanted them? Who gets everyone into position before the ceremony? And who deals with the little questions that inevitably come up while you’re getting ready or enjoying your wedding?
That’s where a day-of wedding coordinator can come in.
What Does a Day-of Wedding Coordinator Actually Do?
A day-of wedding coordinator takes the plans you’ve already made and helps put them into practice.
They’re not there to redesign your wedding or take over from you. You’ve already done the planning.
Instead, they become the person who knows what you’ve arranged, what should be happening and who needs to be where.
That can include liaising with suppliers, checking setup, keeping an eye on timings, helping organise the wedding party and dealing with practical questions so they don’t have to come to you or your family.
And importantly, you don’t necessarily need someone for the entire day.
Do I Need a Wedding Coordinator If My Venue Already Has One?
This is a very fair question.
I spent many years working on the hotel side of weddings, including as a hotel General Manager, so I know how much work venue wedding coordinators and hotel teams do.
A good venue team is invaluable.
But a venue coordinator and an independent wedding day coordinator have different roles.
The venue team looks after the elements of your wedding that the venue is responsible for. An independent coordinator works directly for you and can look at the wider picture.
For example, you may need someone at a church before you arrive, someone overseeing external suppliers setting up at another location, or simply someone who already knows your plans and can deal with questions on your behalf.
For some weddings, the venue team will be all the support you need.
For others, having somebody independent looking after your plans can make a real difference.
Do I Need a Coordinator for a Church Wedding?
You may not need someone to coordinate your entire wedding day but would love to have somebody at the church before you arrive.
This can be particularly useful when several people are involved in the ceremony.
I can arrive beforehand to check that everything you’ve arranged is in place, liaise with the relevant people at the church, check flowers and other ceremony details, help with seating where required and organise the wedding party before the entrance.
Then, when the bridal party and bride arrive, there is someone there to guide everyone and let them know when it’s time to walk up the aisle.
It means that responsibility doesn’t automatically fall to a parent, bridesmaid, groomsman or another guest.
What About Setting Up the Wedding Venue?
This is another time when couples can find themselves trying to be in two places at once.
Perhaps you have your own signs, photographs, table plan, memory items or other personal touches going into the venue.
Maybe you have a florist and décor supplier arriving at different times.
You’ve explained where everything should go, but while it’s all happening, you’re somewhere else getting ready.
Venue Setup Coordination means I can be there during that period to liaise with suppliers, oversee your personal items being put in place and check that the setup reflects what you arranged.
If that’s all the help you need, I can finish once everything is ready and you arrive.
Do I Need Someone for the Whole Wedding Day?
No.
This is one of the reasons I decided to offer different levels of wedding day coordination.
Some weddings have lots of moving parts and benefit from more extensive support. Others don’t.
You might only want somebody there for three or four hours, perhaps from when you arrive at your reception venue until your guests are called for dinner.
You might only want someone overseeing the morning setup.
You might need help at the church and nowhere else.
Or you may want more comprehensive support throughout the day.
There’s little point paying for hours of coordination you don’t actually need.
When Might I Not Need a Day-of Wedding Coordinator?
Not every wedding needs one.
If you’re getting married and celebrating in the same venue, your setup is straightforward, your venue has an experienced wedding team and there are relatively few external suppliers or additional elements to coordinate, you may already have everything covered.
Equally, you may have a family member or friend who genuinely wants to take responsibility for certain things.
The question I’d ask is whether you’re comfortable with the people involved dealing with those jobs on the day.
If you are, great.
If you’re already wondering who will check everything, answer supplier questions, organise people or make sure your plans have actually happened, some additional coordination may be worth considering.
Why I’ve Added Wedding Day Coordination to Timeless Ceremonies
Although this is a new service from Timeless Ceremonies, wedding coordination itself certainly isn’t new to me.
Before becoming a Wedding Celebrant and Registered Solemniser, I spent more than 30 years working in hospitality, including many years working directly with weddings and as a hotel General Manager.
I’ve seen wedding days from the venue side and now from the ceremony side.
I know what happens behind the scenes. I know the questions that tend to come up, where delays can happen and which small details can become someone else’s problem when nobody knows who is responsible for them.
I also know when there’s no need to interfere.
If everything is running exactly as it should, I’m very happy for it to keep doing so.
Wedding Day Coordination That Fits Your Wedding
You don’t need to hand your wedding over to somebody else.
And you don’t necessarily need a full wedding planner.
Sometimes you simply need an experienced person to take responsibility for a particular part of the day so you don’t have to.
